Challenge
Microsoft allows Teams and SharePoint site owners to configure settings and create content without the help of IT Services. With so many options available, it is difficult to choose the best settings and strategies to organize your documents securely and effectively.
Can we control who can access site data?
Site owners are responsible for controlling which ECU members can access Teams and channels. It is also possible to share selected data with non-ECU partners, with approval and assistance from IT Services.

Explanation
|
I need to share a full channel or Teams site contents with people at ECU |
Use default settings |
By default you may add and remove ECU people to your Teams sites and channels, but may not include external guests.
This baseline improves our overall security posture.
|
I need to share certain files and folders with externals |
Contact IT Services |
We will allow you to create sharing links (subject to CIO approval).
This is the best option if you only need to share a couple of items, for a short period of time.
|
I need to provide externals with read-only access to a full channel or Teams site contents |
Contact IT Services |
We will register your externals as ECU guests (subject to CIO approval) so that you can invite them as site visitors.
Register guests as visitors if they just need to view the latest versions of your site contents
|
I need externals to actively collaborate with my Team across a full channel or Teams site |
Contact IT Services |
We will register your externals as ECU guests (subject to CIO approval) so that you can invite them as site members.
Register guests as members to if you need them to interact with Teams posts and/or edit related document libraries.

What can registered ECU Guests do?
if you add them as site visitors, they will only have read access. If you add them as members, they will mostly be able to to do the things members can do. There's a few limitations, mostly around sharing with other external users.
