Challenge
Adapting to the new document management environment can feel overwhelming.
Familiarize yourself with the basics and learn by doing:

Step 1:
Go to https://email.ecuad.ca/ using your favourite internet browser:
- This will direct you to Outlook on the web.
- From here you will be able to access all other Microsoft 365 tools.

Step 2:
Sign in with 2-factor authentication as required:

Step 3:
Use the app launcher to find SharePoint, OneDrive and other Microsoft 365 tools.
- The app launcher is always located on the upper left-hand corner of the page

Search bars are everywhere in the Microsoft ecosystem. If you have access to a file or site, the search bar will find it.

Step 1:
Locate and pin the Teams desktop application:
- Managed ECU laptops will already have the Teams application installed.
- Search for it in your Start Menu (Windows) or Applications folder (macOS).
- Pin the app to your Start Menu or taskbar (Windows) or to your dock (macOS) for easy access later.
- You can also download and install Microsoft Teams on your personally owned macOS or Windows computer (e.g., if you are a student or sessional instructor).

Step 2:
Launch the application and sign in with your ECU credentials:
- Choose 'Work or School Account' if prompted.
- Complete the 2FA challenged as required to sign in.
- The Teams app will occasionally require you to sign in again (e.g., if you have been away or are connected a new network).

Step 3:
Choose between the grid or list layout:
- Click the ... on the upper right-hand side of Teams app and go to Settings.
- Select Appearance then scroll down to adjust Layout options.

Step 4:
Click on Chat to directly message anyone at ECU:
- Direct messages and group chats created here will be deleted after 30 days.
- Do not use Chat for official communications.

Step 5:
Note your currently displayed status:
- Click on your initials on the upper-right corner of Teams to reveal your status.
- Others can see if you are busy or available.
- Your status is automatically updated when you are out of office, or in a meeting.
- You will appear as Available during the default working hours of 8:30 am- 5 pm, Monday - Friday.
- You can adjust your working hours in Outlook Calendar.
- Override your normal status at any time by manually selecting a new status.
- Manually selected statuses will remain in place for 24 hrs. or until you change them.

Step 6:
Note the status of others before sending them a direct message
- The icon next to someone's photo or initials indicate their current status
- Green check marks indicate they are working and available
- Red indicates they are busy (e.g., currently in a meeting)
- A white circle with an X indicates they are offline (e.g., not scheduled to work today)

Step 5:
Click on Teams to interact with channel posts + files
- Posts and comments added here will be retained indefinitely, unless removed by channel owners
- Files posted to here will automatically upload to the associated Team or channel document library

How Teams and channels structure access permissions
Teams and channels control who can edit shared documents, message posts + site pages.
- The Teams application provides the clearest view these permissions.
- Every Team comes with a General channel that is accessible by all members of the Team.
- Some Teams will also contain additional Shared and Private channels (indicated by the share + lock icons)
- Shared channels are used to extend certain content to an audience beyond the core Team
- Private channels are used to limit certain content to a subset of the core Team
- If you can see a channel it means that you have access to all related channel content

Step 1:
Open the settings for a specific Team
- Select one of your teams, click the ... More Options and select Manage team gearwheel
- Next, select the Members tab to view or adjust Team membership

Step 2:
View or adjust Team owners + members
- Team owners + members can view all content on General and any other Standard type channels that exist
- Standard channels have no icon next to their name
- Only owners may click + Add member to invite other people to the core Team
- Owners may promote members to become owners by adjusting that person's role
- To remove owners, first change them to members and then remove them by clicking the X next to their role

Step 3:
View the membership of any private or shared channels
- Select one of your team channels, click the ... More Options and select Manage Channel gearwheel
- The exact membership of private and shared channels will be different from the core Team
- Private channels contain a subset of the core Team
- Shared channels may contain anyone at ECU
- As above, use the members tab to view or adjust who has access to a particular channel
- Not all Teams will contain private or shared channels

Once you know who has access, use one of these options to add files + folders to a Teams site location.

Option 1:
Add files using the Teams app.
- Navigate to the Files tab of a particular Teams channel (e.g., General).
- Click the Upload button and select files from your computer
- Or, drag and drop files from your computer directly into into this area
|

Option 2:
Post a message with attached files using the Teams app/
- Navigate to the Posts tab of a particular Teams channel (e.g., General).
- Click + or drag and drop files from your computer directly into into this area.
- Type out your message (e.g., announcing that you're adding something new) and click Post.
- Your file will automatically upload to the root of the channel's Documents, and can be accessed in the Files tab

Option 2:
Add files using SharePoint on a browser.
- Navigate to a SharePoint document library
- Click the Upload button and select files from your computer
- Or, drag and drop files from your computer directly into into this area

Option 3:
Add files directly to a synced Shared Library on your computer
- See this article to learn how to sync SharePoint data directly to your computer
- Drag and drop files from your computer directly into these folders using Finder (macOS) or File Explorer (Windows)
- Allow a few moments for the files to sync up to SharePoint in the cloud

Instructions

Step 1:
Locate a file or folder using Teams desktop app or with a browser logged into SharePoint or OneDrive.
The following steps cannot be performed within your macOS or Windows finder (i.e., using Shared Libraries or OneDrive desktop application sync).

Step 2:
Click the "..." icon next to the item and select the Move to option
Or, select Copy to if you intend to duplicate the data but also keep the original copy in its current location.
|

Step 3:
Select a destination for your data.
- Click the navigatation pane on the upper left for an expanded view
- Choose My Files if you wish to move content to your personal OneDrive space
- Browse the Quick Access section for frequent and favorite site locations
- Click '...' or More Places... to see all recent items, or to scroll through all of Your Teams

Step 4:
Click Move to intiate the data transfer.
- This will take a few moments for small files or up to an hour for larger files and folders
- A small popup will confirm the move operation completed successfully.

- A SharePoint Hub is a navigational site that allows staff to more easily find data and move between their different Teams sites.
- Each PEC member will have a hub site that bridges all Teams sites within their portfolio (e.g., ITS Hub, Student Services Hub)
- A hub site acts as a start page, and can be bookmarked on your favourite browser for ease of access.
- The hub site navigation bar will persist at the top of the page as you jump between different Teams sites
- A hub site can used to communicate addtional information that is relevant to the entire unit.
- Speak to your supervisor about the status of your hub site

Your personal OneDrive space can be used for
- Storing personal work documents to which only you need to access
- Creating draft documents in collaboration with a small number of peers (i.e., prior to uploading them to SharePoint)
The OneDrive desktop application also allows you to sync personal and shared SharePoint documents directly to your computer.
- In certain situations it is preferable to open files directly from your computer:
- to edit documents without a network connection (e.g., on an airplane)
- to open legacy PDFs or unique media formats directly in the desktop app of your choosing (e.g., Adobe Acrobat, Quicktime Player)
- to more easily include SharePoint files as email attachments
- for a more comfortable and familar experience using your Finder (macOS) or File Explorer (Windows)
