Eligibility

Spaces are available for use by students, staff and faculty.

Student Activities

Booking and approvals for student activities, including:

  • Clubs and meetings
  • Class critiques and presentations
  • Filming on campus

Community Events

Booking, risk assessment and approvals for community events, including:

  • Events open to the public
  • Events requiring technical support
  • Events where food and/or alcohol will be served
  • Events requiring additional staffing for security and/or housekeeping
Tip: community events involve risk assessment and approvals — submit your request as early as possible so there is time to coordinate technical support, staffing, and any permits.

Once you submit, our team checks the space’s availability and reviews what your booking needs. Simple student activity bookings are typically confirmed once availability and approvals are in place. Community events go through an additional risk assessment, and we coordinate any technical support, security or housekeeping staffing, and food/alcohol requirements before confirming.

You will hear from us by email at each stage — including if we need more details about your activity or event before we can confirm.

Information You’ll Need to Book

Have the following ready before you start — a complete request is much faster to review and confirm:

  • Space — the room or area you would like to book (or describe what you need and we can suggest options)
  • Date + time — including set-up and take-down time, not just the activity itself
  • Expected attendance — an estimate of how many people will attend
  • Activity description — what will be happening in the space
  • Organizer + contact — who is responsible for the booking and how to reach them

For community events, also include:

  • Public attendance — whether the event is open to the public, and expected numbers
  • Technical support needs — AV, projection, sound, or other equipment
  • Food and/or alcohol — what will be served, and any catering details
  • Staffing needs — anticipated security and/or housekeeping requirements
