
Supervisors can use MyEC Leave Approval to view balances, delegate a proxy, approve, reject, and withdraw basic leave requests.
Starting April 1st, 2026, MyEC Leave Approval will be available to most permanent employees and non-teaching faculty. Review the quick guide below or visit the FAQs to learn when and how your staff can use it.

Step 1:
Sign in at https://myec.ecuad.ca
You may be prompted for 2-Factor Authentication.

Click on the Employee button and then on the Leave Approval button.
Or simply point your browser to https://myec.ecuad.ca/Student/HumanResources/LeaveApproval.

Step 3:
View leave information for all employees that you supervise.
- Click on an employee to expand and view their individual entries.
- Contact Susan Milner at smilner@ecuad.ca if you are unable to see one of your employees on the portal.

Step 4:
Click on the … View button to reveal a detailed view for each leave request entry.
- If required, use the < and > buttons to view the next or previous week.

Step 5:
Click on the Comments button to view any optional notes that the employee commented on the request.
Note that you must click into the comments section to check if any actual comments were submitted.

Step 6:
Check filter options to sort your results.
- Click the box beside the Description and then click Apply Filters to change the display.
- You can choose to display all of the employees you Supervisor with their Leave Plans and balances by clicking on Include Employees with no Outstanding Leave Requests.
- This form will remember the last filter you used and automatically open the Leave Approval page next time, using that filter.

- NOTE: If your employee is a CUPE employee please ensure that they are entering time based on the Flex Plan Calendar. (e.g., if they are requesting vacation on September 3rd they would need to submit 7.25 hours).
- After clicking Approve, the leave status will be updated and a confirmation email will be sent to the employee.
- If you haven't already done so, follow these instructions to sign into the leave approval section of myEC.

Step 2:
Click on the Comments button next to any request to add a comment that will be available for the employee to view.
- This can be done before or after approving a request.
- Adding a comment is optional and will not cause an additional email to be sent to the employee.

After clicking the Approve button, you will see the following message at the top of the page.

Click on the Reject button next to each individual request.

Step 2:
Use the mandatory Comments window to add a reason for the decision.
- After completing the comment, the leave status will be updated and a confirmation email will be sent to the employee, alerting them that the Leave Request has been rejected.
- The rejection comment will be available for the employee to view in myEC.

After clicking the Reject button, you will see the following message at the top of the page.

After a leave request has been approved, you may need to unapprove it.

Step 1:
Reset your filter to display the Approved leave requests and click Apply Filters.
If you haven't already done so, follow these instructions to sign into the leave approval section of myEC.

Step 2:
Locate the employee and the leave request that you want to unapprove.
Requests must be unapproved one at a time.

Step 3:
Click the Unapprove button from here or use …View to review + unapprove from the details pane.
The employee will be sent an email automatically alerting them that the Leave Request has been unapproved.

Step 1:
In myEC, lick on the Employee button and then on the Employee Proxy button.

Step 2:
Click the + Add Proxy button.
- You can add two proxys at a time

Step 3:
Set Proxy Type to Leave Approval and add an Effective Date and Revoke Date (optional).
- Your proxy will be able to approve requests starting on the Effective Date.
- If you do not set a Revoke Date, the proxy will remain active indefinitely until you manually remove them.

Step 4:
Search by name or employee ID to locate your proxy.
- Once the person appears in the search, select them and click Add Proxy to complete the process.
- You may remove them at any time by clicking the red x next to their name.

Step 1:
Sign into MyEC and select the person for whom you are acting as proxy.
If you do not see this option please confirm that the person has in fact added you as a proxy and that the effective date is not in the future.

Step 2:
Check for the green banner to ensure you are correctly signed in as a proxy.
When you are acting as a Proxy for someone else you should see a clear banner displayed across the top of the application.

Step 3:
Navigate to Employee \ Leave Approval and follow the regular instructions for viewing, approving, rejecting or unapproving leave requests.
- As proxy you can view all data and perform all leave approval functions that the regular supervisor could.
- Any actions you take will be recorded under your username (e.g., the record will show that you approved a particular request, rather than the normal supervisor)

Step 4:
Click the Change User button at any time to switch back to your own account.
- You can change back to proxy later by selecting the Change Proxy User option located next to the Sign out button.

Leave requests have four statuses.

Are my staff eligible to use MyEC Leave requests?
Starting April 1st, 2026, most permanent staff and non-teaching faculty can request basic leaves through MyEC.
- See Collective Agreement clause 2.2 (Permanent Employees) for a full definition of this employment type.
Who can't use MyEC?
If your staff are working in any of the following contexts, they cannot use MyEC leave reporting, and should continue with regular timesheet practices.
- Casual and Temporary staff
- i.e., they are paid hourly, and submit timesheets to payhourly@ecuad.ca
- See Collective Agreement clauses 2.4 (Temporary Employees) and 2.5 (Casual Employees) for full definitions of these employment types.
- Permanent staff who normally work after hours or weekend
- i.e., they currently enter shift differentials on all of their timesheets
- See Collective Agreement 9.1.2 for more information about how CUPE employees are compensated for non-standard hours.
- Student Workers
- Teaching Faculty
Under what circumstances will my staff still need to submit a timesheet?
Staff members and non-teaching faculty who request basic leaves through MyEC will still need to submit hours that go beyond their regular schedule. This is critical to ensure approval, and timely compensation beyond the regularly scheduled salary payments.

If the leave plan an employee is looking for is not available on the self-service leave portal, they must submit a ticket to HR. They will need to select correct leave type and enter the start/end date of the leave and the total hours.

Will Colleague's records indicate which actions were performed by me vs. my proxy?
Yes. When an employee user logs in to MyEC and chooses to act as a proxy for another employee user, Colleague considers the proxy to be that employee user when retrieving tasks that the user needs to perform, such as Leave Approval. However, when the Proxy submits or modifies data, Colleague will update the records with the employee Proxy’s user ID.
What if the leave plan type you’re looking for is missing?
If the leave plan you are looking for is not available on the self-service leave portal, you can use this TDX form to submit your request. Please make sure you select correct leave type and enter the start/end date of the leave and the total hours.
What is the difference between the leave plan and timesheets?
The MyEC leave portal records employees leave usage only (vacation, flex, etc.) and is not connected to any payroll functions. Payroll will require notification of any adjustments that will impact an employee’s salary (i.e. overtime hours, additional hours and shift differential hours).
I am unable to see one of my employees on the leave request page what do I do?
